
Video Recordings on how to download the Form 300
Step 1 – Sign in to Workday
Workday is being used to share the File 300 PDF forms
a) In a web browser, go to “myworkday.ubc.ca”.
b) Sign in using your regular Campus-Wide Login (CWL) credentials.
You’ll receive a notification in Workday when a Form 300 PDF has been shared with you. The PDF file can be downloaded through either:
• METHOD 1 - Workday Notifications
• METHOD 2 - Workday Drive
Step 2 – Download the Form 300 PDF
Save copies of each file
METHOD 1 - To download from the Workday notification:
a) Click on the Notifications Icon (bell) to see your notifications.
b) Select the Review Form 300 for your Tri-Agency Grants notification.
c) Read the notification to see a summary of the files that have been shared.
d) Right-click on the file name at the bottom of the notification, and select Download from the menu.
e) Save the file.
f) If you have multiple files, repeat steps d-e to download each one.

Step 2 – Download the Form 300 PDF
Save copies of each file
METHOD 2 - To download from Workday Drive:
a) Click on your Profile Icon (top right-hand corner) to open the Profile Menu.
b) Select Drive.
c) Select Shared with Me in the sidebar on the left side of the page.
d) Locate your Form 300 PDF. The file will be named according to the naming convention YYYY_CCXXXXX_GRXXXXXX_Agency, where:
• YYYY = Fiscal Year • GRXXXXXX = Grant ID
• CCXXXXX = Cost Center • Agency = Agency Code (CIHR/NSERC/SSHRC)
NOTE: If you have the Principal Investigator role for multiple grants, you will see a file for each.
e) Select the Form 300 PDF by clicking on it.
f) Select Download in the sidebar on the right side of the page.
g) Save the file.
h) If you have multiple files, repeat steps d-g to download each one.

Step 3 – Review and Sign the Form 300 PDF
Check for accuracy and correctness
a) Open the Form 300 PDF.
b) Review the form for accuracy.
c) Sign the PDF digitally, annotating as required. Save the signed file with the same name as the original (i.e. using the format YYYY_CCXXXXX_GRXXXXXX_Agency).
Alternatively, sign/annotate a printed copy. Scan the form and save
Step 4 – Submit the Signed Form 300 PDF
a) Email your completed form(s) to research.statements@finance.ubc.ca (for UBC Vancouver) or ubco.researchfinance@ubc.ca (for UBC Okanagan)
• Use the subject line: “Form 300 for Tri-Agency Grants”.
NOTE: If you have multiple files, it is OK to group them in a single email.
Next Steps
Submission to the Tri-Agency Council
• Research Finance (RF) will review their email inbox regularly to check for newly-received files.
• As new files are received, RF will make updates based on any annotations, and submit the information to the Tri-Agency Council.
